Bringing a Non-Employee to Campus
For non-employees visiting the University of Utah, we encourage travel arrangers to book travel with the Concur booking tool. Alternatively, Christopherson Business Travel can be utilized to book travel for non-employees.
Airfare
Airfare should be booked using the university’s Airfare Card. The airfare expense(s) on the Airfare Card will populate in the travel arranger’s Concur profile in available expenses to be reconciled after the trip.
Car/Hotel/Etc
Other travel expenses may be booked through the Concur booking tool or with CBT. The travel arranger is responsible for confirming the payment method for the expense with the merchant. A Travel Card may be used, but a prior authorization form from the merchant can be required. If the expense is paid for out of pocket by a non-employee traveler, this will be reimbursed through ePR.
Hotel reservations at one of the six university-preferred hotels may be booked with the travel agency or directly with the hotel. A Travel Card is required to pay for a hotel if direct bill (prepaid) is needed for the hotel stay.

It's important to note that non-employee travel requires the four letter request ID to confirm bookings through the Concur booking tool and with CBT.
Lodging
For non-employees visiting the university, we encourage travel arrangers to use one of the six university-preferred hotels. The University of Utah has preferred rates with these hotels. We recommend using your Travel Card. If you don’t have a Travel Card, you can submit a Travel Card application.
